Monitor and automatically update data

Are you one of those people who like to spend hours of Zen-instilling work keeping your database up to date? Manually making sure that you have the correct address for each contact, changing the family name of newlyweds and deleting members that have left the realm of the living?

We doubt it! Keeping your database clean and up to date is however one of the most important elements of CRM, so you need to get the job done in some way. Lucky for you, we have something called Data monitoring which can do most of the dirty work for you.

Data monitoring

Data monitoring will help keep customer profiles up to date and make sure the customers stored stay reachable as time passes by. With this solution, you will delegate the master responsibility of your contact information management to a third-party provider and maintain a clean and GDPR compliant customer database.

Voyado supports automatic updates, courtesy of Bisnode. This means that we can apply automatic updates of contact details using data from their extensive sources in all the supported countries.

With this solution it is possible to monitor and automatically update:

  • First name
  • Last name
  • Address (Street, Zip code, Region)
  • Protected identity (Sweden and Denmark only)
  • Deceased/emigrated

Bisnode Consumer Intellegence, BCI

Voyado performs a lookup in BCI to collect a unique ID for each contact together with relevant data. The ID is then stored in a list for monitoring. Once each night, Voyado checks if any of the contacts in the list has changed since the last time we checked. If that is the case, we collect the data and update it for you.

We will check for changes every day, making sure you have the correct information as soon as we can get our hands on it.

Exception: How often you receive automatic updates can depend on your unique set-up. If you are using a file-based solution instead of BCI, the most common scenario is to get updates once every month.

Best practice

Before activating Data monitoring, it is important to start by analyzing the current state of your database. The purpose is to get a good understanding of your starting point so you can create a plan for the implementation and tasks going forward.

Step 1 - Perform a data review

Overlook the current state of your database. This is a necessary step to get the solution working properly. It will increase your matching rate and optimize the effect of the investment. We will help you to:

  1. Overlook the current state of your database
  2. Clean the register to get a good starting point
  3. Review the level of matching

Depending on the size of your contact database, this step can be quite time consuming. It is however absolutely required to set the foundation for a successful data management process going forward.

Step 2 - Collect more data

If the data review shows that the quality of your data is low it will be really hard for the monitoring solution to match and update data going forward. Therefore, we suggest you to take action and try to collect data from existing customers before activating the monitoring.

Step 3 - Activate Data monitoring

Now, you will get automatic updates of key contact details and increase your chance of keeping a healthy contact database over time.
